Connecting QuickBooks means orders placed on Foodstack become invoices in your books, and payments recorded there show up against your orders. Set it up once and you stop double-entering.
Before you start
Sign in to QuickBooks in another tab as a user with admin rights on the company you want to connect, and make sure it's the right company file if you have more than one.
Connecting
Open Integrations in the sidebar, or Quickbooks under Connected Apps.
Start the connection and authorise Foodstack in the QuickBooks window that opens.
You'll be returned to Foodstack and walked through the rest of the setup.
The status badge next to Quickbooks in the sidebar tells you the state of the connection at a glance.
The setup steps
After connecting, the flow walks you through:
Customers — match the accounts you already have in QuickBooks to your Foodstack customers, so invoices land on existing records rather than creating duplicates.
Accounting — choose which accounts your sales, delivery charges, and fees should post to.
Products — line your catalog up with QuickBooks items. You can also import from QuickBooks here if your item list is already the source of truth, which saves retyping your catalog.
Take the customer matching step slowly. It's the one that causes cleanup later if it's rushed.
Staying in sync
Once connected, your catalog and QuickBooks items are kept aligned as you make changes, so a price or name edit doesn't have to be made twice.
If the connection drops
QuickBooks authorisations expire, and revoking Foodstack's access in QuickBooks ends it too. If the sidebar badge shows the connection as inactive, reconnect from Integrations — your existing matches are kept, so it's a reconnect rather than a fresh setup.
Square
If you use Square rather than QuickBooks, it connects from the same Integrations page and follows a similar setup.
