Adding products and variants

How products describe your coffee and variants make it purchasable.

Your catalog has two levels: products describe the coffee, and variants are the specific things a customer can actually buy.

Products vs variants

A product is what a buyer browses — its name, photo, and coffee attributes like roast level, process, origin, varietals, tasting notes, and elevation. A product is not purchasable on its own.

A variant is a purchasable form of that product: a 12 oz retail bag, a 2 lb bag, a 5 lb wholesale case. Variants carry the price, SKU, order limits, and shipping weight. Customers add variants to their cart, never products.

Adding a product

  1. Open Products in the sidebar and create a new product.

  2. Fill in the name, description, and photo.

  3. Add the coffee attributes. These are what buyers filter and shop by, so the more complete the better.

  4. Add at least one variant with its price and size.

  5. Save.

Setting up variants well

  • Price is per variant and in your storefront currency. You can override it for individual customers later — see Setting custom prices for a customer.

  • Inventory units tell us how much product stock one variant consumes, so a 5 lb case draws down five times what a 1 lb bag does. Get this right and inventory math stays correct across all your sizes.

  • Order limits cap how many of a variant a single order can include.

  • Shipping weight feeds your weight-based delivery pricing, so fill it in if you charge for delivery.

Editing prices later

Changing a variant's price affects new carts immediately, but never rewrites orders that have already been placed — those keep the price they were bought at.

Hiding a product from specific customers

You don't have to show your whole catalog to everyone. Open a customer from Customers to hide individual products or variants from just that buyer — useful for allocations, samples, or house blends.
