Inviting your team and setting permissions

Seats, admin vs member roles, and restricting people to locations.

Invite the people you work with so they're not sharing one login. Everyone gets their own account under your company.

Inviting a teammate

  1. Go to Settings → Members.

  2. Enter their email address and choose the role you want them to have.

  3. Send the invite. They get a single-use link to set up their own password.

Their seat exists as soon as you invite them — you'll see them listed as pending until they finish signing up, and their invite links to the account you created for them.

Roles

  • Admin — full access, including settings, billing, and inviting others.

  • Member — day-to-day work: catalog, orders, customers, inventory.

If you're not sure, start people as members. You can change a role later without them having to sign up again.

Restricting people to locations

If you operate from more than one site, you can limit a teammate to the locations they actually work at, so a person at one cafe or warehouse isn't looking at everyone's work.

One behaviour to know about: when you add a new location, existing teammates get access to it by default — unless you'd already restricted them to specific locations, in which case they stay restricted. So restrictions you've set deliberately don't quietly unravel every time you open a new site.

Removing someone

Remove their seat from Settings → Members. Their history stays attached to the orders and records they touched, so removing a person never leaves gaps in your audit trail.

Inviting a customer's team

Note that this page is for your own staff. Bringing a buyer's team onto the platform is a different flow — see Adding and managing customers.
